Part-time Veterinary Receptionist Position - Job Description

Veterinary Services of Westwood (VSW) is a locally-owned, full-service veterinary clinic that takes its motto seriously -- “Providing Loving Care beyond Compare” to cats and dogs.   We are looking for a new member of this caring and compassionate team with the addition of a Part-Time Veterinary Receptionist.   The primary duty of this position is interaction with clients and coordination of communication between doctors, technicians and clients.   The ideal candidate is professional, customer satisfaction-oriented, detail-oriented, and loves both people and pets.   The successful candidate will have previous experience as a receptionist in a veterinary clinic, but a candidate with a strong client-services background will be considered.

This position is part-time, but has opportunity for future additional hours and training.   This position will work up to 20 hours per week, including two evenings per week (one day will be a 10-hour shift), and up to two Saturday mornings per month.

Required education:  High school diploma or equivalent

Required experience:  At least 1 year in a previous Veterinary Receptionist position or at least 2 years in a position(s) of client/customer service

Essential Duties:

  • Answer phone calls on a multi-line telephone system;

  • Prepare, review, archive documents/medical records;

  • Assist clients with general information, scheduling appointments, payment options and financing solutions;

  • Admit and discharge pets from appointments and services and schedule follow-ups as needed;

  • Accurately update and maintain client/pet records and files;

  • Perform aspects of animal care as directed by the Clinic Manager or Veterinarians.  May be asked to restrain an animal (after proper training), prepare/clean cages, offer food or water, etc.

  • Conduct routine maintenance as necessary: i.e. maintain a clean and fully-stocked reception area, exam rooms, bathroom, and kitchen; empty trash/recycling; launder towels/blankets, etc.

  • Take photos; make social media posts

Qualifications:

  • Qualified candidates should possess excellent interpersonal skills and able to develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of clients and owners;

  • The right candidate will have a fundamental knowledge of a windows-based computer, MS Word/Google Apps, Social Media, and the ability to learn new software systems;

    • Must be able to safely lift 30 pounds;

  • Punctuality is expected
